Most supervisor emails fail because they are too long, generic, or misaligned with faculty research. Your message should be short, specific, and research-focused.

Email Structure

  • Subject: precise topic + your area.
  • Paragraph 1: who you are and your research interest.
  • Paragraph 2: why this supervisor specifically (cite one paper).
  • Paragraph 3: ask for fit discussion, attach CV/proposal summary.

Timing and Follow-up

Send during working weekdays and follow up once after 7-10 days. Avoid repeated follow-ups that look spammy.
